Hours of Operation. Chickadee Virtual Assistants operates during the following business hours:
Monday - Friday
9:00am - 8:00pm
Saturday - Saturday
9:00am - 12:00pm
After-Hours Requests. Services requested outside of the standard business hours may be accommodated on a case-by-case basis and may be subject to additional fees. Such requests must be made in advance and are subject to Chickadee's availability.
Emergency Support. For urgent or emergency support needs outside of regular business hours, the Client should contact Chickadee through the designated emergency contact number or email. Response times for emergency support may vary, and additional charges may apply.
Response Time During Business Hours. Chickadee strives to respond to all client communications, including emails and phone calls, within 12 hours during standard business hours.
Response Time Outside Business Hours. Communications received outside of standard business hours will be addressed on the next business day, unless prior arrangements have been made for after-hours support.
Appointment Scheduling. Clients are encouraged to schedule appointments or meetings in advance to ensure availability. Appointments can be scheduled during standard business hours through email, phone or Honeybook meeting link.
Rescheduling and Cancellations. If a scheduled appointment or meeting needs to be rescheduled or canceled, the Client should provide at least 24 hours' notice. Chickadee will make every effort to accommodate rescheduling requests.
Holidays & Absences. Chickadee is not available for work on the following days:
- New Year’s Day
- Family Day
- Good Friday
- Easter Monday
- Victoria Day
- Canada Day
- Labour Day
- Thanksgiving Day
- Remembrance Day
- Christmas Eve and Christmas Day
Chickadee will advise clients at least 30 days in advance if unavailable because vacation.
Communication. Chickadee preferred a method of communication is email because it creates a reference trail, but texting is also acceptable. Telephone/Google Meet should always be planned to avoid any scheduling conflicts. We will respond to non-urgent emails within 12 hours or the next business day and urgent emails as soon as possible.
All client urgent emails should always be titled URGENT in the subject area of an email and text message to distinguish between non-urgent and urgent requests or inquirers.
Terms and Service Agreement. Five (5) business days in advance are required before the start of any services for scheduling purposes. Service plan hours do not roll over to the following month
